Help center

What EmployIA really does, how to use it and how to control it.

Getting started

How do I get a first result in 5 minutes?

Create your workspace and choose a plan (there is no free plan), then launch a demo from the Control Center: Léa (a sales lead), Hugo (analyzing a contract) or Jade (a customer complaint). EmployIA adds the sample documents and the employee; you click Send, the real engine does the task (1 credit) and you approve what it prepared.

Where do I start with my own data?

1. Settings › Company profile (contact details used in documents). 2. Knowledge: upload your price list, FAQ and terms. 3. Hire an employee from the Marketplace or the Diagnostic. 4. Assign them a task from their profile.

What is a credit?

A task given to an employee (chat, scheduled task or incoming request) uses 1 credit if it completes. A failed task gives its credit back. Sending an approved email or running an approved action does not use a credit.

AI employees

What can an employee actually do?

Depending on their permissions: read your documents, create PDF, Word, Excel, PowerPoint, CSV and .ics calendar files, search the web, prepare emails, schedule tasks, read from or act in your connected apps, and hand a case over to a human. Nothing else.

Can employees make mistakes?

Yes. An AI can misunderstand or get things wrong. Every task shows its outcome (successful, partially successful, approval required, failed), the steps taken and the sources consulted. Check figures and commitments before using them.

What do the autonomy levels mean?

Level 1 (default): every outgoing action waits for your approval. Level 2: actions in an app for which you turned on automatic execution go out without approval, unless the task read external content (a web page or an incoming request). Emails always require approval. Reading private documents, attachments, CRM or store data also makes approval mandatory. Scheduled tasks prepared after such reading stay turned off until the person in charge turns them on.

How do Léa, Hugo and Jade work?

Léa (sales): analysis, A/B/C qualification, lead profile, reply and follow-up for approval. Hugo (admin): summary, key information, filing, tasks, .ics reminders and a report. Jade (customer service): classification, detection of sensitive requests, a reply based on your FAQ and escalation to a human.

Why is web search sometimes blocked?

To limit data exfiltration, the model can no longer send web requests once it has read private data: a document, an attachment, the CRM or the store, in the current task or earlier in the same conversation. Before any such reading, the web remains available. To combine the two, do the web search first in a new conversation, then upload the useful sources.

What should I do with a send marked “To check”?

If confirmation of an email or action never arrives (timeout, outage), EmployIA does not retry anything, to avoid sending it twice. Check your sent folder or the app concerned, then choose in Approvals: “Confirmed: it went out”, “Didn’t go out: send back for approval” (you can approve it again) or “Drop”. Your choice is recorded in the activity log.

Scheduled tasks

How do I schedule a task?

Employee profile › Scheduled tasks, or simply ask (“every Monday at 8 am, do…”). The employee works on their own at the scheduled time and emails you the result; each run uses 1 credit. If the task read documents or external content, the proposed scheduled task is turned off: review it, then turn it on from its profile.

What is the intake form?

An address you can plug into your website, Zapier or Make: each incoming request is handled within 5 minutes by the employee you choose. These requests come from third parties: the employee does not search the web for them, and everything it prepares waits for your approval.

Applications

Which apps can actually be connected?

Available: the Claude and ChatGPT connectors. In beta (working and covered by our automated tests, not yet verified on a real account for each service): Slack, Microsoft Teams, Discord, Zapier/Make/n8n, Notion, WordPress (drafts), Shopify (read-only), HubSpot and Brevo, plus sending from your own Gmail address. After connecting, the “Test” button checks your own account: the card shows “Connected” only after a successful test. Coming soon: Gmail inbox reading, Outlook, Google Calendar, Google Drive, OneDrive, WooCommerce. The exact status of each app is shown in Applications.

Are my credentials protected?

They are encrypted (AES-GCM) on the server, never displayed again or exported, and you can disconnect an app at any time.

How do I work with Gmail or Google Calendar today?

Prepared emails are sent by EmployIA after your approval, and replies arrive in your inbox. Sending from your own Gmail address is in beta (send-only permission, every email still needs your approval); Outlook is coming soon. For everything else, a Zapier or Make workflow connects EmployIA to Gmail, Google Calendar or Sheets; appointments can also be provided as .ics files.

ChatGPT and Claude

How do I use EmployIA from Claude?

In Claude: Settings › Connectors › Add custom connector, address https://employia.tech/mcp, then click Connect and authorize access on the EmployIA page (you choose which employees are accessible).

How do I use EmployIA from ChatGPT?

In ChatGPT on the web: Plugins › Add › Add custom MCP server. Name: EmployIA; address: https://employia.tech/mcp; authentication: OAuth. Create and install the plugin, connect your EmployIA account and choose the authorized employees. Access depends on the permissions of your ChatGPT workspace.

Can ChatGPT or Claude bypass my rules?

No. They go through the same controls as the app: permissions, quotas, human approval and the activity log. Emails and actions go out only if you explicitly ask. Each connection can be limited to specific employees and revoked in Applications.

Documents

Which formats are supported?

PDF, Word (.docx), Excel (.xlsx), PowerPoint (.pptx), TXT, CSV and Markdown, up to 5 MB per file, 100 files and 100 MB per workspace. Text is extracted automatically; scanned PDFs without a text layer may be unreadable.

How does an employee use my documents?

It searches for the relevant passages and cites the title of the document used. If the information is not there, it must say so instead of making something up. You can limit each employee to specific documents.

Approvals

What do I need to approve?

Prepared emails, actions in your apps (unless automatic execution is turned on at level 2) and escalations. Each item shows the recipient, content, reason, sources and planned action; you can approve, edit or reject it with a reason.

What happens when I reject something?

Nothing is sent. The decision and its reason are recorded in the activity log.

Security

Is my data isolated from other customers?

Yes: every request is filtered on your workspace, on the server side. Automated tests check that another account can neither read nor modify your employees, documents, files, approvals or logs.

How does EmployIA resist hidden instructions (prompt injection)?

External content (documents, web pages, incoming requests) is treated as data, never as instructions. After such content has been read, every outgoing action requires your approval, and a scheduled task created in that context stays paused. No system is foolproof: human approval remains the main safeguard.

Can I see everything that was done?

Yes, in the Activity log: every event (task, tool, approval, permission, connection) with its date, author and status, plus a detailed timeline of each task.

Billing

What plans are available?

Family & Students ($14.90/mo, 600 credits), Starter ($49/mo or $490/yr, 1,500 credits), Business ($149/mo or $1,490/yr, 5,000 credits), Enterprise on quote. There is no free plan: without a subscription you can browse the site, take the diagnostic and set up your workspace, but you cannot assign tasks. All integrations and all employee templates are included during the beta.

Are there overage charges?

No. Once you reach the limit, new tasks are declined until your plan renews or you change plans. An alert appears in your workspace at 80%, 95% and 100% of the limit.

How do I change or cancel my subscription?

Billing › Manage my subscription (secure Stripe portal): change plans, update your payment method, download invoices and cancel.

Can I withdraw after subscribing?

Consumers: before paying, you ask for the service to start immediately and waive your right of withdrawal for the part of the service already provided. If you withdraw within 14 days of subscribing (contact@employia.fr; a model withdrawal form is included in the confirmation email), the period already used remains due and the rest is refunded within 14 days. Businesses: no right of withdrawal; you can cancel at any time from Billing.

Data

Where is my data stored?

Files are stored in the European Union (Cloudflare R2, EU jurisdiction), and the database runs on Cloudflare D1. Requests given to employees are processed by OpenAI (AI model); the list of subprocessors is available under Privacy.

How do I export or delete my data?

Settings › Export my data (JSON file, without sign-in credentials). To delete your account, write to contact@employia.fr.
